Privacy Policy

This Policy explains how ViComm LLC, doing business as Presidio ("ViComm," "Presidio," "we," or "us"), collects, uses, discloses, and protects personal information. It also explains the choices and rights available to individuals.
1. Scope and our roles
This Policy applies to Presidio websites, accounts, applications, support, sales, and services that link to it. It does not apply to third-party services governed by their own policies.
For account, billing, website, security, and business-relationship information, ViComm generally determines why and how information is processed and acts as a business or controller. For contacts, leads, form responses, calls, texts, recordings, transcripts, and other data a Customer places in its workspace, the Customer generally determines the purposes and ViComm acts as its service provider or processor. If your information was collected by a Presidio Customer, direct your request to that Customer; we will assist it as required.

We do not intentionally request sensitive personal information unless necessary for a feature, verification, compliance, or support. Customers should not use Presidio to collect regulated health, financial-account, biometric, precise-location, children's, or other sensitive data unless authorized by contract and configured with appropriate safeguards.
3. How we use information
- provide, operate, personalize, and support the Services;
- create accounts, authenticate users, manage organizations, and process transactions;
- route calls and messages, host CRM and form data, transcribe or summarize communications, and execute Customer-configured workflows;
- maintain security, prevent fraud and abuse, debug, monitor availability, and enforce policies;
- communicate about service, security, support, billing, updates, and—with permitted choices—marketing;
- analyze and improve performance and usability, including with aggregated or deidentified information;
- comply with law, carrier and registration requirements, legal process, and protect rights and safety; and
- carry out another purpose with notice and consent where required.
We use AI providers to process content only as needed to deliver configured AI features. We do not sell Customer Content or permit our providers to use it to train general-purpose models except where a Customer affirmatively enables a separately disclosed feature.
4. Legal bases
Where applicable law requires a legal basis, we process information to perform a contract, pursue legitimate interests such as providing and securing the Services, comply with legal obligations, protect vital interests, or based on consent. Consent may be withdrawn, but withdrawal does not affect prior lawful processing.
5. How we disclose information
We may disclose information to:
- Customer administrators and authorized users according to workspace permissions;
- service providers and subprocessors for hosting, databases, authentication, AI, speech processing, telecommunications, email delivery, payments, analytics, monitoring, support, and security;
- carriers, registries, and verification bodies to provision numbers, route communications, register senders, prevent abuse, port numbers, and enable emergency calling where configured;
- professional advisers and authorities when necessary for legal, audit, insurance, compliance, safety, fraud prevention, or enforcement purposes;
- transaction parties in a merger, financing, acquisition, reorganization, bankruptcy, or sale, subject to appropriate protections; and
- others at your direction or with consent.
We do not sell personal information for money. We do not share personal information for cross-context behavioral advertising as those terms are defined by California law. If our practices change, we will provide required notices and opt-out methods before doing so.
6. Calls, recordings, messages, and AI
Presidio Customers decide whether to enable calling, recording, transcription, messaging, or AI features. Depending on configuration, these features may process participant names, numbers, voices, words, timestamps, recordings, transcripts, summaries, and inferred intent. The Customer is responsible for giving notices and obtaining consent required by the locations and circumstances of participants. AI output is probabilistic and may be reviewed or corrected by authorized users.
7. Cookies and similar technologies
We use technologies necessary to sign users in, preserve settings, protect sessions, prevent abuse, and operate the Services. We may use limited analytics to understand product performance. Where required, we will request consent before using nonessential cookies. Browser controls can block cookies, but essential features may stop working. We honor legally required preference signals, such as Global Privacy Control, when applicable to our practices.
8. Retention
We keep information only as long as reasonably necessary for the purposes described, including the Customer's subscription and configured retention settings, legitimate operational needs, dispute resolution, security, backup cycles, and legal, tax, carrier, or compliance requirements. Retention varies by data type and context. After deletion, information may remain temporarily in protected backups until overwritten. We may retain aggregated or deidentified information that cannot reasonably identify an individual.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information, including access controls, tenant separation, encryption in transit, logging, and provider review. No method is completely secure. Customers must protect credentials, configure permissions, maintain endpoints, and avoid submitting information unnecessary for their use case. Report suspected security issues to security@vicommsystems.com without including live customer data.
10. Your choices and privacy rights
Depending on your location and our role, you may have rights to request access, correction, deletion, portability, restriction, objection, withdrawal of consent, or information about processing; to opt out of certain sale, sharing, targeted advertising, or profiling; and to appeal a denied request. You will not receive discriminatory treatment for exercising a right.
Submit requests to privacy@vicommsystems.com. We may verify your identity and authority, and may deny or limit a request where permitted by law. Authorized agents may submit requests with proof of authority. If a Presidio Customer controls the information, contact that Customer first. You may also complain to your local privacy regulator.
11. California notice
California residents may request the categories and specific pieces of personal information collected; sources; business purposes; and categories of recipients, and may request correction or deletion subject to exceptions. The categories collected in the preceding twelve months are described in Section 2, and the purposes and recipients in Sections 3 and 5. We do not knowingly sell or share personal information of consumers under sixteen. We do not use or disclose sensitive personal information for purposes requiring a right to limit under the CCPA. Where ViComm handles Customer Content as a service provider or contractor, the Customer is responsible for responding to consumer requests and we will provide reasonable assistance.
12. Children's privacy
The Services are intended for businesses and persons at least eighteen years old, not children under thirteen. We do not knowingly collect personal information directly from children under thirteen. If you believe a child provided information improperly, contact us so we can investigate and delete it as appropriate.
13. International processing
ViComm is based in the United States. Information may be processed in the United States and other countries where providers operate. Where required, we use recognized transfer mechanisms and contractual safeguards. Customers are responsible for selecting regions and configuring communications consistent with their obligations.
14. Changes to this Policy
We may update this Policy to reflect changes in law, technology, or our practices. We will post the updated version with a new date and provide additional notice for material changes when required. Prior versions may be requested from us.

This Policy must accurately reflect actual production practices. ViComm should complete a data inventory, retention schedule, subprocessor list, cookie audit, consumer-request procedure, and legal review before commercial launch.
